MnPALS Cataloging User Group: Spring 2008

Co-Convenors- Robin Horowitz, Bobby Bothmann

  1. Additions: Request to discuss WorldCat Local- Tina Gross. Adam Marsik -Motion Kathleen Ashe 2nd.

  2. Approval Fall 2007 Minutes: Joan Klanderud-motion 2nd Kathleen Ashe. Minutes accepted.

  3. User Group frequency-Adam Marsnik made motion for User Group once a year and have a Workday once a year. We can decide if we need to move back to 2nd User Group meeting. Kathleen Ashe amended to this with an evaluation after one year. Motion passed. Bobby raised the question for Spring or Fall UG. And fall or spring workday. Vote was for fall Workday and Spring User Group. Recommendation to have various User Groups on different days for ability to attend.

  4. Workday. Discussion about when we want the workday. Request to spread out the cataloging and reference workdays for those institutions with multipositions. Mary Ann explained that when decisions need to be made concerning cataloging, she sends to Cataloging Steering Committee, but needs to have forum for consortium decisions. Discussion. Cynthia D. One User Group. One workday with a possible User Group component to the workday to take care of any business. Kathleen Ashe. Some attendees need to cover more groups that just one so User Group is more functional, would not like to see a 3rd day needed. Adam-useful information about changes that aren’t otherwise communicated. Adam Marsnik questioned who will have responsibility for Workday-that will be Steering Committee . PALS will be fiscal agent for future workdays. Planning was Steering Committee. Kathleen Ashe-Could we use User Group cataloging session as something of a breakout informational? Bobby-so much reporting would make that hard. Ginny Heinrich... suggested trying 1 User Group day for the next year and evaluate if we need to go back to two User Group days. Robin Horowitz - recording info can be aspect of a portion of workday. Evaluation from Workday: Elizabeth-location just needs to meet criteria. Consensus that charging $10-15 for lunch is acceptable. Adam Marsnik requested that a survey go out again in case people’s training needs change.

  5. PALS REPORT-Mary Ann Greenwald.
    Bobby Bothmann-any Browse reindexing for v.18 Al Rykhus - no reindexing needed for Browse v. 18 (only for ILL) Reindexing for authorities task force will need to be addressed. Group was reminded that User Group had requested yearly reindexing. Al Rykhus asked if early August would be a good time for this, response was yes.

    User Update (view records cataloger info) 5 cat fields retained on the bib record --this will be done once a year. Original/most recent with latest 3 in between. All updates will go into an Oracle table for archives/historical access.

    "**" denotes something on workplan that is completed. SYS60 explanation. Mary Ann addressed corrections on Report under 1. GO TO: Jazz Server is development server for v. 18

    Page 19. Reports. MaryAnn encouraged the use of Reports Task Force forum.

    Lisa Lentz had question about course reserves. If you create a course reserve record it will always say course reserve because of the HTML behind scenes. Mary Ann explained options. Create tab type config. for SYS30 library. New feature in LUTE drop down will display format info choices. Once the record is created in ALEPH the format cannot be changed. DeeDee Narum suggested Circ/Cataloging Depts. need to talk and come back to PALS. Bobby suggested a forum. Lisa Lentz. Searching Catalogs in WorldCat. Changing link in worldcat must be done in worldcat registry. Functionality. Sara Ring. This only affects the link that is clicked in worldcat local holdings to get to your library. Sara recommended to call BATS for further information. MaryAnn Serials Holdings Forum

  6. Task Force Reports
    • Authorities-Ginny Heinrich: Everything is posted with links on agenda. What has been found out about NACO, several group members attended NACO training. Authorities Charge-proposed revision. Kathleen Ashe motion Bruce Willms, Metropolitan State University 2nd for approval of changes --motion passed.

    • Indexing--Bobby Bothman reported. Updates/Changes posted. Holding receipt status OPAC NOTE. Investigation continues. Request to put into answer book how to find the information for indexing changes. Bobby suggested to put in both answer book and on WIKI. If subfield $u in 530 etc. it is now hyperlinked. No longer need to use 856 to make it a hyperlink.

    • Reports Group-Adam Marsnik Reports and services process discussed. The best route is to enter incident report for any reports we want. Reports are continually being added. Adam also mentioned the PALS LOGO Quick links. Look for PALS 27 for March 27.. shows what needs to be filled in for titles in collection report. Titles in a collection mnpals27. Good for weeding.

    By using the "notify" button on the forum...you will get email whenever the forum is updated.

  7. Elections: Steering Committees Representatives. State Univ.-Bobby Bothmann Special --Lisa Lentz Robin Horowitz and Bobby Bothmann will continue co-convening with Adam Marsnik as cataloging User Council Representative in Robin’s place. K-12 representative was not decided.

  8. Eluna Presentations
    • Bruce Willms, Mary Ann and Peg Lawrence- will be presenting on Inventory Management. Presenters explained what they’ll be doing.
    • Mary Ann will be a Cataloging Convener for ELUNA.

  9. Open Source Discussion
    Mary Ann created PowerPoint for Evergreen/Koha. Mary Ann gave brief presentation including websites. http://koha.liblime.com/ Open Source questions-Can there be a presentation possibility for consortium members? Can there be a "workday" for this? Virginia Dudley-MINITEX is thinking about bringing Koha/Evergreen in for possible forum. An announcement will come out (May or June?) So many libraries are using ILLIAD there may be no need for an ILL module to be built in OPEN SOURCE. Virginia Dudley- OCLC ILL product VDX is also available.

  10. Request for other workplans for PALS.
    • WorldCat Local was discussed by Tina Gross from St. Cloud State. St. Cloud and Mankato have discussed whether they want WorldCat Local to be their discovery tool. Tina feels WorldCat Local is the worst option. She suggested that other schools compare the same search in two different discovery tools. Take a look at odd formats, not just your books. WorldCat Local is also expensive. Customization, special formats, etc. will be an issue in WorldCat Local. WorldCat Local is configurational, it not unchangeable. Macalester College is implementing WCL now as an example. If your data is bad, links, etc. will be problematic on discovery tools. Marcive records will not be reflected. WordCat Local will add for free at a one-time reclamation-if your service is ongoing you would have to pay for future loading. You can batch load your own MARCIVE holdings back to OCLC is free. Other questions/discussion included subject headings and controlled vocabulary.
    • Mark Wilhelmi addressed Union listing Cecelia Boone mentioned there has been batch loading of serials information into Aleph. Libraries may be getting requests unable to fulfill because there is bad ILL info in Local Holdings. Local Holdings training is available. The system will also let you download the information into a spreadsheet.

Discussion Notes for Agenda Items:

5. Should the consortium continue to hold the User Group meetings twice yearly or move to annually? If annually, should we meet in the fall or the spring?

6. Review the summary of the Cataloging Workday evaluations. Should we post another survey? Should we hold the next workday in Mankato (second highest preference for a location from original survey)? What would people like to see presented?

8c. Discuss reports available in Cataloging and those that have been created in conjunction with the Reports Task Force. Discuss the process/procedure for requesting new reports or services.

10. Two presentations from MnPALS libraries will be given at ELUNA this summer. ELUNA User Group will be held in Long Beach, CA from July 30 – August 1. The presentations will be:
a. “Battles and Triumphs with Online and Batch Inventory (Aleph v. 17 and higher – Inventory Management)”

Presenters:
  • Bruce Willms (MTR) – batch inventory in conjunction with an RFID reader
  • Peg Lawrence (MSU) – online manual inventory using a wireless laptop
  • Mary Ann Greenwald (PALS) – central server site issues ranging from providing the file from the alephe/scratch or data/scratch directories to configuring the Shelf Report Number (SRN)
b. “Yikes! How Many Databases do I Need to Learn? Training the New Cataloger in a Multiple Database, Multiple Software Interface Environment”

11. Discussion of Open-Source/Koha training at the PALS Office and User Group General Session.

12. Are there are other items that the Cataloging User Group should direct PALS to do; e.g. fix routines, services, etc.? NOTE: PALS Executive Committee recommended to PALS management that the PALS staff spend 25-30% of their time weekly on Innovative Projects. As a result, PALS staff will be limited on the new work they can do with Aleph.

13. Libraries are encouraged to send Aleph v. 18 questions in advance to Mary Ann Greenwald, PALS Office. They will be shared in this session.
