Draft Minutes

1. Welcome and introductions - Rachel Wexelbaum (SCSU)

2. Recorder was Michelle Ehlert (Metropolitan State University)

3. No additions/changes to the agenda

4. Motion to approve Fall 2008 User Group Minutes was made and seconded; minutes approved.

5. Aleph/MnPALS Issues – Dee Nolan (PALS) talked briefly about a routing list bug that was discovered when a library tried to delete a patron record that was linked to a routing list. Dee said to delete the routing list before deleting the subscription record, and also mentioned the bug has been reported to ExLibris. Sarah Monson (Gustavus) had a question about priv-08 (holding report); she and Dee decided to discuss it after the meeting. Dee explained priv-08 and said there was a description of how to use priv-08 in the knowledge base, #3335.

Dee mentioned the PALS work plan has morphed into the PALS strategic plan (i.e., the work plan has been eliminated, and items on the work plan have been moved over to the strategic plan.) Items added to the strategic plan were: testing EDI invoicing and EDI claiming (books and serials), and implementing binding; PALS is currently working with the Banner interface and testing it with CSB/SJU. PALS is willing to work on the possibility of setting up EDI ordering with the InterAcq product from Midwest if any library is interested. CSB/SJU might be interested.

The following items have been finished and have been removed from the work plan: sending local holding records to OCLC; and the global change in the subscription records (changing the end date to 2025).

The following items were removed from the work plan due to lack of continued interest: EDI ordering from Emery Pratt; EDI order acknowledgements from Baker and Taylor; emailing order lists to vendors; working with Baker and Taylor’s Title Source (B&T said Title Source is more for public libraries). Libraries should use GOBI with Yankee if they are interested in this type of product.

6. Ideas for spring workday – Dee described what a workday is, and people were interested in having a workday in spring 2010. Sarah M. thought it was helpful to collaborate with cataloging on a work day; Rachel W. will check with the Cataloging user group to see if they would be interested in combining again. Jo Flanders (SCSU) suggested moving the workday date; discussion ensued about when Easter is, and when university spring breaks will be occurring. Decided to plan for a workday at the end of March or first week in April. Michelle E. will check to see if space would be available at Metropolitan State during that time frame.

Possible workday topics – Linda Richter (PALS) suggested talking about how libraries handle their e-serials, e-resources. Tess Kasling (CSB/SJU) thought that would be a very good topic to collaborate on with the Cataloging user group. Diane Christensen (Gustavus) suggested a session on Aleph enhancements, like the session held at the Regional ExLibris User Group meeting on 10-27-09. Becky Schwartzkopf (MN State, Mankato) suggested a session dealing with budget cuts (How are decisions to cut being made? How much is being cut? Libraries are reviewing processes, and collections, etc.) Michelle E. suggested a panel discussion featuring the beta libraries who are testing the PALSconnect ERM. [Later in the meeting, Diane C. suggested inviting Michael Johnson from the U of M, aka Macro Guy, to do a presentation at the workday. Michael had done a session about Macro Express at the REUG meeting on 10-27-09.]

7. Acq/Serials wiki page – Rachel W. set up a basic wiki page for Acq/Serials in the PALS wiki. She wanted to know: what information would be helpful to include? Is a wiki page worthwhile? How should we keep in touch? Rosie Mock (MN State, Mankato) suggested libraries add documents to the wiki page, such as ones dealing with acquisitions and serials procedures, and custom reports created by PALS. Linda R. suggested using it for e-resource idea sharing; Sarah M. thought it would be a helpful way to share end-of-year reporting documentation (which reports do you run? etc.) Elizabeth Tuckwood (Law Library) mentioned including a cataloging handout that Lori Pesik put together for last year’s workday. Tess K. suggested including projects that libraries are working on, for possible collaboration. Jean Kramer (MN State, Moorhead) suggested putting a note in the forum (which you can set up to notify you when something new is added) after something is added to the wiki page. It was mentioned that anyone can add to the wiki, though Rachel W. will change some of the structural work of the page before anyone should add anything.

8. Elections – Heather Biedermann (MN State Mankato) and Michelle E. described what the roles of User Council Rep and Secretary entail, since their terms are over in spring 2010. Jean Kramer volunteered for User Council Rep. Motion to elect Jean was made and seconded; Jean Kramer was elected Acq/Serials User Council Rep for a two year term, beginning Spring 2010. No one volunteered for Secretary, so Heather B. suggested sending an email to the rest of the group, a call for nominations/volunteers. Jo Flanders said if there were no volunteers after sending out the email request, she would volunteer to be Secretary.

9. Regional Ex Libris User Group Meeting (Oct. 26 and 27) - Jo F. thought it was valuable; Diane C. liked the enhancements to Aleph session; people liked the Macro Express session given by Michael Johnson and others from the U of M. Tess K. received macro samples from Michael Johnson for use in working with YBP’s Gobi system.
