MnPALS ACQ/SER Users Group: Fall 2008

  1. Opening remarks

  3. No additions/changes to the agenda

  4. Motion to approve Spring 2008 User Group Minutes was made and seconded; minutes approved.

  5. Elections – Tammy Bobrowsky (Bemidji State University) asked for volunteers for Steering Committee Convener, as her term will be up in Spring 2009. Rachel Wexelbaum (St. Cloud State University) volunteered. Motion to elect Rachel as Convener was made and seconded; Rachel Wexelbaum was elected Acq/Serials Convener for a two year term, beginning Spring 2009.

  6. PALS Report - Dee Nolan (PALS) asked if there were any questions about the Acq/Serials part of the Support and Training Services report. There was no link in the agenda for the report until late in the day on Tuesday, October 28. Dee mentioned she will be doing a two day acquisitions functional training on December 4th and 5th at Century College. The training is for libraries that are going to start using the Acq/Ser. module, or for libraries with new staff. The price is $150 per person for the two day training. Jane Young (Century College) clarified the school’s location, and said the training will take place in their new library. Dee showed a list of the things dealing specifically with acquisitions and serials on the PALS Work Plan, and asked if these were things that PALS should still be working on. She confirmed the global change to 2025 for the serials end date, and said the change will take place within the next year. Numbers 46, 57, 65, 66, 74, 77, 78, 91 will stay on the work plan.
    1. 46 Email order lists to vendors: Diane Christensen (Gustavus Adolphus College) said she copies and pastes the order lists into email; Elizabeth Tuckwood (Minnesota State Law Library) copies and pastes claim letters. Diane C. mentioned the emails don’t look very good, however, since there are formatting problems. As a way to fix the formatting, Adam Marsnik (Normandale Community College) suggested copying and pasting order lists into Word documents, then emailing them that way.
    2. 57 Test EDI with Ebsco for serials claims: Dee said it’s currently not working for anyone. People have been using Ebsconet for claiming. Tammy B. said their Ebsco representative told them they should be using EDI for claims. The decision was made to make serials EDI claiming a higher priority than book EDI claiming.

    Adam M. asked what reports people need to run when dealing with serials and LHR (local holding records). He went into more detail about item records for serials and LHRs. Dee mentioned the breakout session (Exporting LHR to OCLC - MARC Tag Cleanup on serial holding records) being held later on Wednesday, and said that she and Mary Ann Greenwald (PALS) will be doing trainings on LHR and summary holdings in the future. Dee talked about Blackwell’s Collection Manager and YBP’s Gobi online ordering systems, and asked if people would be interested in using a product like that from B&T (if they have one.) The consensus was “yes”, PALS should look into B&T’s online ordering system and Midwest’s InterAcq system, and it should be given high priority. It was mentioned that InterAcq and Collection Manager both have a way to add the order # to invoices, which helps speed up the line item invoice process; Gobi currently does not include order numbers on YBP invoices.

  7. Which reports would be useful for completing library surveys, etc.? (NCES Academic Libraries Survey) (Sandy Hoffbeck, Southwest) – Adam M. mentioned using the mnpals-28 report for every budget line; Rosie Mock (Minnesota State University-Mankato) said she does a WCL command on every collection code. Other reports mentioned were: mnpals-27, mnpals-49, mnpals-51. Jean Kramer (Minnesota State University-Moorhead) said she would like a report that would give expenditures by format (material type). Rosie M. said at one time there was information about how she did statistics for their library on the PALS website; it was unclear if that information was still available online. Adam M. mentioned they put a note in the 655 field for DVDs, to be able to pull numbers. Dee suggested continuing the discussion/questions/sharing of info on the MnPALS Forum, and showed how to log in to the Forum. *See the Systems Meeting minutes. A motion was made about working with PALS to document which reports are the most helpful for the NCES Survey.

  8. Planning for Workday (Spring 2009) – Decided to plan for April 2009, most likely partnering with the Cataloging Workday (either two days back to back, or ½ day for each module on one day). Locations suggested were Metropolitan State University, and Hennepin Technical College. Tammy B. mentioned the Acq/Serials Steering Committee will be presenters/facilitators, but that the committee will also be asking other people for help with presenting. PALS will handle the registration and be the “fiscal agent”. Michelle E. will check to see if PALS was charged a rental fee to use space at Metropolitan State in the past for the Cataloging Workday (Fall 2007) and Reference Workday (Spring 2008).
