MnPALS Indexing Task Force Report: April 2007

Report to Cataloging User Group, April 2007

The Indexing Task Force examines the indexes by considering things to index that are currently indexed and/or to provide additional points of access. They also address issues and problems resulting from current indexing, and recommend appropriate changes and actions in consultation with the MnPALS Access Task Force for discussion and approval at the MnPALS Cataloging User Group meetings.

The fall MITF meetings focused on the bibliographic record fixed field keyword (WFF) index and adjacency indexing. These were discussed at the Joint Cataloging/Reference User Group meeting in the fall. A vote to add the WFF index was held on the PALS lists in November and approved by the members. PALS implemented the index with the version change to 17.

MITF made small adjustments to the tab_type_config index to correct a few problems and allow for changes in the MARC21 Format for Bibliographic Data.
Key among these were:

Govt Publication now uses the 086 field (SuDoc number) to define a record as Govt Publication

Integrating Resource now looks for Bib. Level "i" as well as the previous Bib. Level "s" and 006m and 006s and Serial Level 2.

Compact disc now uses the 007/03 f that defines the CD playback speed to limit to compact discs

We addressed the problem of records not fully indexing in the keyword indexes because they reach the maximum number of keywords the indexing allows. We de-duplicated some of the 5XX indexes which helped the problem. MITF will review other duplicate indexes for future indexing.

Discussed ISBN13 indexed. PALS implemented a fix in the fall that allows ISBN13 and ISBN10 searches in SYS01 regardless of the ISBN format in the record. In other words, searching an ISBN10 for a record that only has an ISBN13 (or vice versa) will retrieve the record through this fix.

Discussed the OCLC 035 change in their fall Tech Bulletin change for Connexion 1.7. The issue was resolved and duplicate 035s may be deleted on export from Connexion in the Connexion client settings (email from PALS sent out with instructions on this).

Reviewed the phrase search problem regarding the use of !0 in place double quotes, requested the instruction change on the OPAC, which PALS completed

Currently MITF is investigating the possibility of OPAC search statistics to review redundant indexes, testing indexing changes in SYS60 for holding records, and has requested that PALS send a problem report to Ex Libris about the 856 $y alternate text which does not show as a hyperlink in the OPAC when used.
