Using Bowker Analysis to Evaluate Your Collections

Find out how Normandale Community College extracted their bibliographic records from Aleph and then uses to the Bowker Book Analysis software to compare its holdings against titles in "Resources for College Libraries" for collection development purposes.

Aleph Orders for Electronic Resources

The Aleph order record identifies the specific information that can be used to describe an order in our library automated systems. At the same time, the order record allows for flexibility and a variety of acceptable practices. This discussion will consider several of the common needs and questions that arise when creating order records for electronic resources and suggest some positive ways to organize these records.

Workflows in Cataloging

Discussion will be on the future of cataloging workflows as we move to even more automation and usage of vendor records. What do we need to consider before moving forward? Wondering if you should implement ALEPH’s automatic holdings and item record creation ability? What kind of time would it save? What would you do with your “spare” time? We’ll brainstorm planning for projects incorporated into an already full work load. Also, vendor records- the good the bad and the ugly. These and other topics will be discussed by the panel.

Navigating the Maze of Aleph Bib Loaders -- What does PALS use and what can the Library use?

What are the various ways to load your catalog records? What does the PALS office use to load records, what is locked down from library use, and what can libraries use to load their own catalog records? This session will talk about the differences amongst the bib loaders; e.g. oclc loader, MARCIVE loader (file-99), Load catalog records (manage-18) combined with Create holdings and item records using Bib data (manage-50), Generic vendor record loader (file-96), or Advanced generic vendor record loader (file-90). If you are confused, join the crowd … others are confused as well. Come to this session to learn how to untangle the maze and learn what each bib loader is designed to do.

Budget Discussions

Is your institution facing budget cuts? Are you responsible for evaluating ongoing subscription costs? Both Minnesota State University, Moorhead and Minnesota State University, Mankato Libraries are facing demands to reduce the amount of money spent on subscription materials. MSU, Mankato has utilized campus faculty surveys and internal library reviews to reduce the amount spent on continuing commitments. MSU, Moorhead publicized e-journal holdings to department faculty to gather support for the elimination of duplicate print holdings and then transferred dollars from print journals to databases. Come prepared to learn more about strategies they used, share your own experiences, and brainstorm innovative ideas for the future.

Local Holding Records and Macro Express

In conjunction with PALS, Minitex, and Michael Johnson, GAC prepared our local holdings records (LHRs) for batch processing using Macro Express to make changes to our serial holding records in Aleph. This mini-session will give examples of how we identified records and make the necessary changes following PALS documentation.

Aleph Enhancement Processes

How can you tell ExLibris to improve the Aleph product? MnPALS libraries, along with other North American Aleph users, can do this through the enhancement process. The gathering of enhancement ideas for the 2010 cycle, which will make it into the version 21 release, has now begun. This mini session will explain how the process works and how you can get your enhancement ideas forwarded through the correct channels.

How does your library address software licensing, classroom performance rights, and public performance rights for audiovisual materials? Are classroom and public performance rights indicated in the records for audiovisual materials? This session will encompass a brief introduction to licensing and copyright issues, as well as an opportunity to share how different libraries address the issue.

How is your library investing in EBooks and EReaders? This session will address the investigative efforts that Saint Cloud State University is taking in order to determine user needs and accessibility for existing and incoming EBooks into our collection.

ERM/Cufts Beta Testing

The PALS office recently began testing the CUFTS Electronic Resource Management system (ERM), an open source resource created at Simon Fraser University. Renamed for MnPALS libraries as PALSconnect, the ERM can potentially benefit libraries by streamlining workflows and eliminating redundancies and duplication of efforts related to electronic resources: license agreements, provider information, contacts, subscription information, etc. A panel made up of representatives from the beta libraries testing the resource and PALS staff will be present to discuss their experience with the PALSconnect ERM.

In this class, we will create an original cataloging record for a book using MARC 21 format. We will discuss MARC tags, fixed and variant fields, subfields, indicators, as well as the resources needed to create accurate, up-to-standard bibliographic records. Authorities Update

The PALS staff presenters will give an overview/update of what the PALS office has done to implement the Aleph Authorities functionality. This will encapsulate what has occurred since the functionality was turned on in August 2009, what PALS continues to do and a review of the cleanup issues. During the last portion of the presentation timeframe, Jessica Schomberg, the Authorities Task Force co-convenor, will facilitate an open question/answer session.

Global Changes via p-manage-21: the procedure and the results

So you want to clean-up bib or holding records in your catalog? Performing global changes was introduced at last year’s Cataloger Workday. Maybe you didn’t have time to schedule a training session to learn about the procedure, but now you are ready! This session will be a reminder of what you need to know before you can do it at your library, how the procedure works, and the kind of data that can be changed with p-manage-21. Sarah Quimby of the Minnesota Historical Society is using the service. She will share what they have learned and the type of data they have been able to change. NOTE: The service cannot change fixed fields. BUT, PALS has something up their sleeve for this problem which may be ready for showtime on Cataloger’s Workday. You ask … and we deliver!

Analytic Linkages for Serials and 'Bound-withs' + WFF: Fixed Field Indexes and How To Use Them

This session will be divided into two parts. Part one will discuss the mechanics of linking bibliographic records in Aleph. Linked records, using the Aleph LKR field, may be used for analytic monograph descriptions of theme issues in a serial, or for a monographic resource 'bound with' another unrelated or separate resource. Part two will explain the fixed field index (WFF), how it was built, and how to use it to refine your results for any type of common command language (CCL) search.

Global Changes for Record Cleanup

Over the years, the MARC Bibliographic Format has changed. However, the MnPALS bibliographic database has not always been updated to reflect these changes. In this panel session, we will discuss possible automated global changes that the MnPALS Office could make to the entire bibliographic database, such as removing all indicators from field 260.
