The following document is intended to assist User Group Conveners, User Council Representatives, and the User Council Chair to fully understand their role and responsibilities.

Responsibilities of the User Group Conveners

• User Group Conveners are responsible for setting the agenda for User Group subsystem meetings.

• User Group Conveners are responsible for minutes taken at User Group subsystem meetings, accuracy of minutes, and turning them into the PALS office in a timely manner. PALS will then post these minutes to the WebPALS home page.

• User Group Conveners are responsible for reporting at the User Council meeting that follows each User Group meeting. These reports should include information on recommendations or issues that have been forwarded from their subsystem group.

Responsibilities of the User Council Chair

• User Council Chair is responsible for reporting at User Group the activities and actions of the User Council.

Responsibilities of the User Council Members

• User Council Members (User Group Conveners, User Council Representatives from User Group Steering Committees, User Council Chair, and the User Council Liaison from PALS) are responsible for setting the User Group meeting dates.

• User Council Members are responsible for attending meetings, held bimonthly during the academic year.

• User Council Members are responsible for acting on business brought to the Council.

Responsibilities of the User Council Representative to the DDC/EC

• User Council Representative to the DDC/EC is responsible for reporting activities and recommendations that have come from User Group Steering Committees and special Task Forces if needed to DDC/EC.           

Voting Structure

• Each member of the User Council may vote on matters brought before the Council.
