1. Welcome and Introductions – Amy Naughton (ADC) and Diane Pollock (UCR), Co-Conveners

2. Recorder - Anna Hulseberg (GAC)

3. Approve Fall 2009 Minutes – Approved

4. Elections (the new 2 year term becomes effective immediately). Three positions to be filled:

  • State Universities: Martha Hardy (MTR)
  • Private Colleges and Universities: Amy Naughton (ADC)
  • Consolidated, Technical and Community Colleges: Diane Pollock (UCR)

Election Results:

  • Private Colleges and Universities elected Amy Naughton (ADC) to continue for another term
  • Consolidated, Technical and Community Colleges elected Diane Pollock (UCR) to continue for another term
  • Still seeking one more member, preferably from the State Universities. The Steering Committee will solicit nominations via the MnPALS-discuss list.

5. PALS Report Response – Perry Madden (PALS)

Perry referenced PALS Report pages 10 (OPAC report) and 15 (MnPALS Plus report)

Version 20 Update – Perry reported that the OPAC changes are primarily “cosmetic” and that there should not be much need to teach students about using it

Follow up on Brief Circ records recommendation from Fall 2009, when the Reference User Group voted to display Brief Circ records in MnPALS Plus.

CIRC-BRIEF Discussion notes from Fall 2010 Agenda:

  • Shortly after User Groups, PALS Tech staff had concerns about putting these records into MnPALS Plus. They noted that this particular scenario (using Brief records for Course Reserves) is only used in a limited number of libraries, while the majority of libraries actually use the much improved Course Reserves functionality in Aleph.
  • Many of the CIRC-BRIEF records in our system would most likely cause issues with relevance ranking, facets and how they display in MnPALS Plus because not everyone is following MARC standards in creating these records.
  • The recommendation from PALS Tech staff is that if you wish those CIRC-BRIEF records display, remove the CIRC-BRIEF status from these records in order for them to display in the OPAC and MnPALS Plus.

Perry Madden and Al Rykhus fielded questions about CIRC BRIEF display. Al suggested that libraries that wish to continue using CIRC-BRIEF records should remove that status and create a collection code to facilitate searching for and generating reports for those records.

6. Possible Name Change to include Instruction 

Cynthia Jorstad moved to change the name of the Reference User Group to the Reference and Instruction User Group. The motion was seconded and approved.

7. Approval of Recommendations from Indexing Task Force on OPAC Display Changes

Recommendation regarding RDA changes and display in Classic OPAC

Discussion notes from Fall 2010 agenda:

  • New MARC tags and subfields have been added to the MARC 21 formats recently in anticipation of RDA. The Minnesota Historical Society and Minnesota State University, Mankato are both participating in the U.S. National Libraries test of RDA. Thus any RDA records will likely come from these two institutions and the Consortium will have an opportunity to review these records.
  • The MnPALS Indexing Task Force respectfully requests that all new tags and subfields be part of the normal record display in the classic OPAC, and that any display changes be part of a review after the test is complete and official word of RDA acceptance is delivered.
  • Fields affected are: 7XX $i (relationship information), 257 (country of producing entity), 336, 337 and 338 (content, media, and carrier types) 380 (form of work), 381 (other characteristics of work or expression), 382 (medium of performance), 383 (numeric designation of musical work), and 384 ([musical] key).

Perry Madden pointed out a typo in the agenda discussion notes: subfield 366 should probably read subfield 336.

Discussion and questions regarding benefits and pitfalls of adding new tags and subfields to classic OPAC. Al Rykhus confirmed that the display settings can be reversed at a future date if necessary.

Orrin Ausen moved that all new tags and subfields that have been added to the MARC 21 formats in anticipation of RDA be part of the normal record display in the classic OPAC. The motion was seconded and approved.

Recommendation/question regarding “streaming video” label

Discussion notes from Fall 2010 Agenda:

  • The Task Force also defined a new tab_type_config label for “Streaming Audio,” which had fallen through the cracks during the last indexing update.
  • Question: Is a label for “streaming video” needed or desired?

Amy Naughton moved to send the “streaming video” issue back to the MITF for further clarification, especially in regards to its relationship to “electronic video.” Does the MITF intend to replace “electronic video” with this new label, and if so, what is the definition of “electronic video”? The motion was seconded and approved.

Once the Reference Steering Committee receives clarification from the MITF, it will make a recommendation to the Reference User Group electronically.

8. Workday Planning

The steering committee solicited input on the level of interest in holding a spring workday, format, location, and possible topics. 19 of those in attendance indicated an interest in holding a workday; 2 indicated no interest in holding a workday. The steering committee will send out a call for possible topics.

9. Minitex Update

Mary Parker referred the group to the Minitex Report. She reminded those in attendance to take advantage of the College of DuPage Library Learning Network and announced the availability of a new Electronic Library for Minnesota brochure.

Orrin Ausen moved to adjourn. The motion was seconded and approved. The meeting adjourned at 2:20 PM.
